Designer / Creative Coordinator for US IT Firm (Long Term)

More than 6 months, 30+ hrs/week Managed IT and technology consulting firm in Southern California. Alongside IT support, we design, build and maintain websites for our clients, plus the print and brand collateral that goes with them. We are looking for one person to own that side of the business day to day. This is a hybrid designer and project manager seat. You will be the face of our web and design work to clients, and the person who keeps every project moving. We have a developer on the team who handles the heavier build work, so your job is to scope it, design it, direct him, check his work and close the loop with the client. This is at least 30 hours a week role. WHAT YOU WILL DO Design and build client websites in WordPress with Elementor, and in Wix, from concept through launch Handle ongoing site maintenance: content updates, blog posts, page edits, mobile and responsive fixes, plugin and theme updates, user and password administration Design print and brand collateral: flyers, business cards, one pagers, logo and branding refreshes, social graphics Light photo and video editing for client sites and campaigns Run client communication directly by phone, email and video call: gather requirements, present concepts, collect feedback, set expectations on timelines Manage the project queue, assign and review work from our developer, and QA everything before it reaches the client Open and maintain a ticket for every client request in HubSpot so nothing gets dropped, especially items waiting on a third party Use AI tools daily to move faster on copy, image work, layout iterations, QA and client summaries YOU MUST HAVE Fluent, professional spoken and written English. You will be on live calls with U.S. business owners and attorneys, so this is non negotiable Availability during U.S. Pacific business hours, roughly 8:00 AM to 5:00 PM PT Strong hands on WordPress and Elementor experience. Show us sites you built, not just sites you edited Print design skill and a portfolio that proves it. Web only or print only applicants are not a fit Comfort with Adobe Creative Suite, Canva or equivalent Real project management instincts: you follow up without being asked, and you tell people when something will be late before it is late Daily working use of AI tools such as ChatGPT or Claude, and the ability to explain how you actually use them Willingness to learn our stack and our way of working: HubSpot, Slack, Microsoft 365, Teams NICE TO HAVE Wix, Squarespace, Shopify Basic HTML and CSS for the small fixes that are faster than filing a dev ticket SEO fundamentals and on page optimization Experience working with small business or professional services clients such as law firms, medical practices, HOAs, contractors Experience directing an offshore or remote developer TOOLS WE USE WordPress, Elementor, Wix, Adobe Creative Suite, Canva, HubSpot, Slack, Microsoft 365, Microsoft Teams HOW TO APPLY Please include: A portfolio with at least three live websites you designed or built, and at least two print pieces One short paragraph on a project where the client changed direction mid stream and how you handled it Which AI tools you use in your design and project work, and one specific example of how they saved you time Confirmation you can work U.S. Pacific business hours and your available hours per week Start your reply with the word "Pasadena" so we know you read the whole post Applications without a print sample or without the word at the top will not be reviewed.
